Privacy Policy

Introduction

Welcome to SailScore. We are committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.

Information We Collect

When you create an account, we collect your name, email address, and password. Passwords are stored in hashed form. If you sign in via Google or Apple, we receive your name, email address, optional profile picture URL, and authentication details needed to create and maintain your SailScore session.

Our authentication system records session information for security and account access, including session token records, IP address, and browser or device user agent string.

When you use SailScore to manage sailing activity, we store the information needed to run the service. This includes clubs, club membership and roles, invite codes, sailor names, boat classes, race records, race results, race notes, and performance insights. Sailor names are entered by race organisers on behalf of their club or personal race records.

The app also stores some data locally on your device, including authentication state in encrypted device storage and app preferences, favourites, selected club context, and recent history in local device storage.

How We Use Your Information

We use your information to:

  • Provide and maintain your SailScore account.
  • Authenticate your identity when you sign in.
  • Associate you with clubs, roles, sailors, races, and race history.
  • Calculate results, rankings, club statistics, and performance insights.
  • Generate and manage club invite codes and QR invite flows.
  • Maintain security, prevent misuse, and troubleshoot service issues.
  • Improve SailScore through usage analytics.

Analytics

We use PostHog, a product analytics service hosted in the United States, to understand how SailScore is used. PostHog may collect usage events, such as starting a race, adding or removing a sailor, or changing a boat class, along with basic device and app context such as operating system, app version, and screen size.

We do not intentionally send names, email addresses, or race participant details to PostHog for analytics.

Device Permissions

SailScore requests camera access only when you choose to scan a club invite QR code. You can enter invite codes manually if you do not want to use the camera. The app also uses device clipboard and sharing features when you copy or share invite codes.

Third-Party Services

We use the following third-party services to operate SailScore:

  • Google and Apple for account authentication.
  • Better Auth for authentication flows and session management.
  • Neon PostgreSQL for database hosting.
  • PostHog for product analytics.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

Data Retention

Your account information is retained for as long as your account exists. You may delete your account from the Profile screen in the app. Account deletion removes your account details, sessions, authentication records, and club memberships, subject to safeguards that prevent a sole club administrator from deleting an account while other members still depend on that club.

Race results are historical records of sporting events and may be retained as a permanent record, consistent with standard practice across sailing clubs and sporting organisations.

Children's Data

SailScore accounts are created by race organisers, not by sailors themselves. We do not knowingly collect personal information directly from children. Sailor names may be entered by race organisers acting on behalf of their club. If you are a race organiser entering names of junior sailors, you are responsible for ensuring you have appropriate authority to do so, including any necessary consent from parents or guardians.

Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Delete your account and associated account data.
  • Contact us with questions or concerns about your data.

Data Security

We take reasonable measures to protect your information. Passwords are stored using cryptographic hashing. Authentication tokens are stored in encrypted device storage. Data is transmitted over HTTPS.

Changes to This Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page indicates when the policy was last revised. Continued use of SailScore after changes constitutes acceptance of the updated policy.
